The journey · 8 touchpoints

What happens after someone registers.

You keep Eventbrite, Luma, Cvent — whatever you already use. ewent picks up at the moment of registration and carries each attendee to the door, one message at a time, in their own timezone.

73 events run 67,000+ checklist steps ticked No migration — we sit on top

The cadence

Eight messages. You send none of them.

Every send is computed against the attendee's own timezone, not yours. A 09:00 reminder lands at 09:00 for the person in Berlin and 09:00 for the person in Bengaluru — the single thing most reminder tools get wrong.

Welcome & confirmation

Lands the moment registration syncs. Carries the calendar file — the highest-leverage anti-no-show artifact there is — and a signed link to their personal checklist.

cp1 · on registration

Three days out

The first real nudge. Prep-phase steps only: what to bring, what to read, what to book. Nothing about the day itself yet.

cp2 · −3 days, 09:00 local

One day out

Travel, parking, room, what time to actually leave. The checklist reorders itself so the unticked items surface first.

cp3 · −1 day, 09:00 local

Starting in an hour

The highest-intent moment in the sequence. One button: join, or get directions.

cp4 · −1 hour

Live — you haven’t joined

Fires only for registrants who have not appeared. This is the message that converts a drifting yes into an attendee.

cp8 · at start, conditional

Thank you

Recap, recording, the feedback ask, and the next date if there is one. The cheapest retention loop you own.

cp5 · +2 hours

Last call & upgrades

Capacity-aware nudges for anyone still undecided, and tier upgrades where the organizer has enabled them.

cp6 · cp7 · as configured

Changed plans

Cancellations and reschedules broadcast automatically, so nobody turns up to a room that moved.

on status change

The surface

One page per attendee, not one email blast.

Every message points at the same signed URL: that person's own checklist. It knows who they are, what they have already done, and what phase the event is in.

◷

Countdown in their time

Event header with the start rendered in the attendee's timezone and a live countdown. No mental arithmetic, no missed 03:00 webinars.

◔

Prep · live · post

The checklist phases with the event. Prep steps retire at doors-open; live steps appear; post steps unlock afterwards.

✓

Steps that do something

Each step is a link plus a tick — book the hotel, read the pre-read, join the room. 67,000 of them ticked so far.

◎

Add to calendar

A real .ics file, not a "click here to add" link that breaks on mobile.

⇄

A graceful way out

Cancel in one click. A freed seat is worth more than a coerced yes — and it goes back to the people who wanted it.

✉

Preferences on every page

Unsubscribe and email settings sit on the checklist itself, not buried in a footer. It keeps the sending domain healthy.

Setup

Three things, once.

1

Connect registrations

Point us at the event you already created. Nothing moves, nothing is re-ticketed, your attendees never see a migration.

2

Build the checklist

Start from a template for your event type and edit. Most organizers are done in under ten minutes.

3

Leave it alone

The cadence runs itself. You look at the dashboard afterwards to see who came and what they did.

What we don’t do. We don’t take payments, we don’t own your attendee relationship, and we don’t ask anyone to create an account before they can see their own checklist. Signed links, no password.

Questions organizers actually ask

Do I have to move off Eventbrite?

No. That is the whole design. ewent overlays the registrations you already collect — your ticketing, your payouts, your attendee list stay exactly where they are.

Will attendees get two sets of emails?

They get your platform's transactional mail plus ewent's checklist cadence. The cadence is designed to carry the information your ticketing platform doesn't — logistics, prep, and the live nudge — rather than repeat the receipt.

How do you know someone's timezone?

From the registration record where the platform supplies it, and from the attendee's own profile once they open their checklist. Where we genuinely don't know, we fall back to the event's timezone rather than guess.

What happens if I cancel or move an event?

Change the occurrence status and the broadcast goes out automatically. Pending reminders for that occurrence stop firing.

Can attendees opt out?

Yes, from any message and from the checklist page itself. See the email & consent policy for exactly what we send and on whose behalf.

Stop losing the people who already said yes.

Connect the registrations you already collect. We handle the rest — per-attendee checklists, timezone-local reminders, and a live nudge when the room opens.
