Email & consent

What we send, and why we are allowed to.

ewent sends mail to people who never signed up with ewent. That deserves a plain explanation rather than a paragraph buried in a privacy policy.

The short version. You registered for an event. The organizer of that event uses ewent to send you prep reminders and a personal checklist. We send on their behalf, in their name, about that event only. We never send you marketing for ewent, and we never send you anything for a different organizer.

Who is who

  • The organizer is the sender. Their name is on the message. They decide what the checklist says and when the cadence runs.
  • ewent is the tool, acting as a processor on the organizer’s instructions — the same relationship a mailing tool has with the company using it.
  • You are the person who registered. Your relationship is with the organizer; ours is with them.

What we actually send

All of it is transactional — it relates to an event you registered for and to nothing else.

Legal basis

Under GDPR and comparable regimes we rely on legitimate interest for transactional event mail: you asked to attend an event, and messages that help you attend it are within your reasonable expectation. Where an organizer’s jurisdiction or their own policy requires explicit consent, they collect it at registration and we honour that flag.

We do not rely on legitimate interest for anything promotional, because we don’t send anything promotional.

Your controls

  • Unsubscribe — on every message and on your checklist page itself. Takes effect immediately.
  • Per-organizer — opting out of one organizer’s events does not silence another’s.
  • Deletion — ask and we remove what we hold. No justification required.
  • Access — ask for a copy of what we hold about you.

Use the contact form with the topic set to “Privacy”, or reply to any message.

What we never do

  • Buy, rent, scrape or enrich contact data. Addresses come from your registration and nowhere else.
  • Sell or share your address with sponsors, exhibitors or advertisers.
  • Send you ewent’s own marketing on the back of an organizer’s event.
  • Use your address for an event you did not register for.

Sending infrastructure

Mail is sent through our email infrastructure provider on authenticated domains with SPF and DKIM aligned. Bounces and complaints suppress an address automatically — a complaint is treated as an unsubscribe, not as something to appeal. The providers we use are named in the subprocessor list.

If we get it wrong

If you receive an ewent message after opting out, that is a bug and we want to know. Tell us and we will fix it and confirm back to you.
